ABOUT THE ROLE
We’re looking for a proactive and detail oriented Legal Administrative Assistant to support our Legal team fulltime. Reporting to the Vice President of Legal, you’ll help keep our operations running smoothly while acting as the main administrator for Brightflag, our Matter Management system. In this role, you’ll manage system upkeep, support users, run reports, and coordinate with external vendors to keep processes flowing seamlessly. In addition, you’ll provide essential administrative support—calendar and travel coordination, expense processing, and document preparation to the team.
The ideal candidate brings strong organization, tech‑savvy skills (Microsoft Office, Brightflag and SAP), and a keen eye for detail to help the Legal team deliver on its strategic priorities.
This position is based out of our Downtown Calgary Head Office, with easy parking options and flexibility.
A DAY IN THE LIFE
- Provide proactive administrative support to the Vice President and assist lawyers with day‑to‑day needs.
- Manage calendars and schedules, coordinate meetings, book travel, and handle expense submissions with accuracy and ease.
- Lead our Matter Management Program, including:
- Keeping the system running smoothly through maintenance and troubleshooting
- Supporting new users with onboarding and training
- Creating and interpreting reports to support decision making
- Partnering with external vendors as the primary point of contact
- Prepare, format, and proofread a variety of legal documents and correspondence.
- Maintain organized and accurate records, both electronic and physical.
- Support invoice processing and matter setup within Brightflag and SAP.
- Contribute to department projects and initiatives, jumping in where needed to help the team succeed.
ABOUT YOU
- Experience: You have a minimum of 5 years of experience in a Law firm or Corporate legal team
- Education: You have a Bachelor’s Degree, Diploma or Certificate in a related field such as Legal Studies, Criminal, Business Administration or Office Administration
- Organizational Excellence: You’re comfortable juggling multiple priorities and keeping things running smoothly, even on busy days.
- Attention to Detail: You take pride in producing accurate, polished work and managing information with care.
- Communication Skills: You communicate clearly and professionally, building trust through strong verbal and written communication.
- Problem Solving: You’re proactive and resourceful—quick to spot issues and even quicker to find solutions.
- Collaboration: You work well on your own and enjoy contributing to a supportive, team focused environment.
