ABOUT THE ROLE
TransAlta is looking for an organized and proactive highly skilled Administrative Assistant to support our VP of People & Culture on a 12-month temporary basis (maternity leave coverage).
In this role, you’ll act as a trusted partner to a senior leader, helping keep priorities aligned and days running smoothly. This is a trusted partner role for someone who thrives in a fast‑paced environment and brings strong judgement, organization, and discretion to everything they do.
This is a full-time, 12-month temporary position based out of our Head Office in Downtown Calgary.
A DAY IN THE LIFE
- Provide administrative support to the Vice President, People & Culture and the broader HR leadership team
- Manage calendars, schedule meetings, and coordinate logistics for both virtual and in-person events
- Prepare presentations, reports, correspondence, and meeting materials
- Coordinate team events, and employee engagement activities and travel
- Support HR projects, initiatives, and department-wide programs
- Coordinate invoices, expense reporting, and other administrative processes
- Liaise with internal and external stakeholders to ensure requests and activities are completed efficiently
- Help identify opportunities to improve processes and support team effectiveness
ABOUT YOU
- Business Office Administration Certificate, Diploma, or similar
- Minimum 5 years of administrative assistant experience in an executive support role
- Experience supporting a Human Resources team is desirable
- Well-developed organizational skills, and the ability to manage multiple demands and work within tight deadlines
- Self-motivated with the ability to work with others effectively in a team
- Exceptional organisation and communication skills
- Ability to thrive independently while collaborating in a proactive, high-energy environment
- Comfortable engaging with stakeholders at all levels, from employees to executives
- Tech-savvy and adaptable with sold skills in Microsoft Office – Word, Excel, Power Point, Outlook, SharePoint, SAP and calendar management
- Strong ability to assess organisational needs, understand the history of the organization and adapt to and manage change
