ABOUT THE ROLE
The Administrator to the VPs, Commercial & Customer Relations business unit, will support the calendars and offices of two VPs working on large and impactful projects within TransAlta. The business environment requires the ability to prioritize and multitask, managing multiple competing requests in a strategic manner, and being regularly exposed to confidential information. A high degree of discretion and attention to ensure that confidential information is kept private is critically important to this role.
This role is based out of our Head Office in Downtown Calgary.
WHAT YOU WILL DO
- Provide proactive, accurate, and efficient administrative support
- Manage calendars and coordinate meetings: ensure effective time management of the VPs and assist in the management of busy calendars, which includes arranging meetings, venues, and tracking multiple meeting requests
- Prepare meetings agendas and transcribing or distributing minutes
- Process and manage invoices through SAP
- Process expense reports
- Prepare, quality control and distribute reports, memos, presentations, spreadsheets, and other internal documentation using MS Word, Excel, and PowerPoint
- Manage information flow between departments, respond to various inquiries and provide assistance and direction in a timely manner
- Ensure departments' SharePoint sites are updated and assist in establishing and coordinating the implementation of company HR, Communications, and administrative policies
- Maintain a filing system for various business units including archived documents, data entry, paper documents, or electronic storage
- Work collaboratively as part of the CCR Team
- Plan and execute business unit events, including managing event budgets
- Handle travel logistics
WHAT WE NEED FROM YOU
To be successful in this role, we are looking for the following essential qualifications and experience:
- Organizational Skills: Exceptional organization is required for managing multiple tasks and priorities efficiently
- Discretion: Ability to handle confidential information with utmost discretion and integrity
- Communication Skills: Proficient verbal and written communication skills are essential for effective interaction with internal and external stakeholders
- Administrative Experience: Previous experience in an administrative role supporting senior executives, preferably in a similar industry
- Technical Proficiency: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with SharePoint
- Time Management: Aptitude for managing time effectively and ensuring the VPs' schedules are optimized
- Problem-Solving Skills: Ability to anticipate needs and solve problems proactively
- Event Coordination: Experience in planning and executing corporate events and meetings and managing related budgets
