ABOUT THE ROLE
TransAlta is looking for a highly capable Executive Assistant to support our Executive Vice President of Generation. In this role, you’ll act as a trusted partner to a senior leader, helping keep priorities aligned and days running smoothly. This is a trusted partner role for someone who thrives in a fast‑paced, executive environment and brings strong judgement, organisation, and discretion to everything they do.
This is a full‑time position in our downtown Calgary head office.
A DAY IN THE LIFE
- Prepare, edit, and format internal correspondence, memos, reports, and presentations, ensuring executive communications and deliverables are accurate, clear, and professionally presented.
- Prepare, organise, and coordinate board and senior leadership materials with a high degree of attention to detail and confidentiality.
- Assist with budget preparation, tracking, and updates, including invoice processing and financial administration support.
- Track key commitments and priorities while effectively managing calendars, bring‑forward files, and inboxes.
- Support the executive and broader team by monitoring timelines and ensuring deadlines are met and work remains on schedule.
- Assist with meeting preparation, including agenda development, note‑taking/minutes, and timely distribution of materials and follow‑ups.
- Plan and execute business unit events, meetings, and offsites, including coordination and event budget management.
- Conduct research and compile information, liaise with internal and external stakeholders on behalf of the executive, and support the coordination and implementation of administrative policies and processes.
- Maintain ownership of group SharePoint sites and materials, ensuring information is current, organised, and accessible.
ABOUT YOU
- Undergraduate degree or an equivalent combination of education and 5+ years of experience providing senior‑level executive support in a complex environment.
- Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and calendar management.
- Demonstrated experience managing and maintaining SharePoint sites and content
- Proven ability to work with a high degree of professionalism, confidentiality, discretion, and sound judgement.
- Exceptionally strong organisational skills, with the ability to manage competing priorities, work under tight deadlines.
- Self‑motivated with a strong sense of ownership; able to work independently while collaborating effectively as part of a team.
- Reliable and dependable, with a proven track record of strong attendance and follow‑through.
- Brings a positive attitude, resilience, and a healthy sense of humour that contributes to a supportive team culture.
- Experience with SAP is considered a strong asset.
