We are looking for a highly motivated, self-starter Executive Assistant and Project Coordinator with a desire for learning to join our TransAlta team to support our Executive Vice-President, People, Talent and Transformation Office.  This role is a blend of accountabilities generally completed by an Executive Assistant and a Project Coordinator.  You will be accountable for providing confidential and executive administrative support to the EVP, People, Talent and Transformation. Your role will manage all aspects of the Executives office; including time management, prioritizing meetings, establishing agendas, developing presentations, planning events and managing the Executive’s travel. 


This position goes above & beyond the day-to-day EA responsibilities. In supporting the EVP, People, Talent and Transformation, you will be to grow your business support experience in areas such as HR and Communications.   This is an excellent opportunity for someone to gain Human Resources and Corporate Communications exposure while working directly with an Executive.


This is a full-time salaried position locally based at our head office in Downtown Calgary.




As the EA to the EVP, People Talent and Transformation, you will be responsible for including, but not limited to the following:


  • Providing general business support;

  • Preparation of internal correspondence, memos, reports, and presentations and editing/format of executive communications and deliverables;

  • Assisting with budget preparation, tracking, management and updating;

  • Tracking key commitments, maintaining calendars, bringing-forward files, and inbox maintenance, and ensuring notification of upcoming deadlines;

  • Assisting with meeting preparation, preparing agendas, and transcribing and distributing meeting minutes;

  • Preparing materials for Board of Director meetings;

  • Planning and executing business unit events, including event budget management; and

  • Researching and compiling data, meeting with with individuals and groups inside or outside of the company on behalf of the EVP, People, Talent and Transformation, and providing assistance in establishing and coordinating the implementation of company administrative policies.




  • Post Secondary Education in Human Resources, Business Administration, Corporate Communications or a related field

  • Minimum 5 years of administrative assistant experience in an executive support role;

  • Business support experience in areas such as HR, Corporate Communications or Legal is highly desirable;

  • Experience working with Executive Teams;

  • Professional experience in developing presentations, project coordination, and event planning;

  • Calendar management and travel booking experience;

  • Excellent written and verbal communication skills;

  • Proficient with MS Office Suite including Sharepoint, and other tools such as SAP is preferred;

  • Demonstrated aptitude to prioritize tasks based on comparative importance and urgency;

  • Ability to work with a high degree of professionalism, efficiency, confidentiality, discretion, and effective decision-making in a time sensitive, fast-paced work environment;

  • Well-developed organization skills, able to manage multiple demands and work within tight deadlines; and

  • Self-motivated and a passion for learning, with the ability to work with others effectively in a team.
