We are currently seeking an Executive Assistant to support the Chief Business & Operational Services Officer.

 

Summary:

 

As an Executive Assistant, you will be accountable for providing confidential and executive administrative support to the Chief Business & Operational Services Officer. Your role will be to manage all aspects of the office to maximize the Executive's efficiencies. As an Executive Assistant you will possess strong organization and communication skills and the ability to manage a wide variety of responsibilities and juggle tasks. Capable of communicating with employees at all levels including senior management and executive board members. You will need to be able to self-direct and problem solve, as well as work collaboratively with team members to accomplish tasks and projects. In this position you will have the opportunity to learn about the power industry at a high level, with exposure to a wide variety or learning and growth opportunities. We are looking for a self-starter who will expand the role, therefore previous Executive level support experience is not necessary.

 

Accountabilities:

 

  • Preparation of internal correspondence, memos, reports and presentations and edit/format executive communications and deliverables.
  • Assist in the preparation and organization of board materials.
  • Assist with budget preparation, tracking and updating as well as invoice processing.
  • Tracking key commitments, maintaining calendars, bring-forward files and inbox maintenance. Work with the executive to ensure deadlines are met and team is on schedule.
  • Assist in meeting preparation, preparing agendas, transcribing and distributing minutes.
  • Planning and executing business units' events, including event budget management.
  • Research and compile data, meet or liaison with individuals and groups inside or outside of the company on behalf of the executive, and provide assistance in establishing and coordinating the implementation of company administrative policies.

 

Qualifications:

 

  • Successful completion of a university undergraduate degree.
  • Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, Calendar Management.
  • Ability to work with a high degree of professionalism, confidentiality, discretion, and effective decision making in an always changing environment.
  • Well-developed organization skills, able to manage multiple demands and work within tight deadlines.
  • Self-motivated with the ability to work with others effectively in a team.
  • Strong written and verbal communication skills.
  • Experience with SAP and/or Sharepoint would be an added asset.
