ABOUT THE ROLE 

 

TransAlta is currently seeking a highly organized and self-sufficient Receptionist. The ideal candidate will possess excellent communication skills, have related experience and thrive in a fast-paced environment. As the first point of contact for the company, the Receptionist plays a crucial role in providing exceptional customer service and ensuring the smooth operation of the office. 

 

This role is based out of our Head Office in Downtown Calgary.

WHAT YOU WILL DO  

 

  • Greeting and Directing Guests:

    · Welcome visitors and guests with a warm and professional demeanor.

    · Effectively communicate with guests and direct them to the appropriate personnel.

    · Provide necessary information regarding the company and its facilities.

     

  • Front Office Coordination:

    · Manage the front desk area, ensuring it is organized and presentable.

    · Assist in maintaining security by following procedures and controlling access.

     

  • Mail Room Support:

    · Assist in sorting and managing incoming and outgoing mail.

    · Coordinate with the mailroom for the timely distribution of packages and correspondence.

     

  • Office Supply Management:

    · Coordinate office supply orders and ensure timely restocking of floors.

    · Monitor inventory levels and communicate with relevant departments for replenishment.

     

  • Visitor Parking Coordination:

    · Coordinate visitor parking, ensuring availability and providing guidance to guests.

    · Maintain a log of visitor parking spaces and communicate with security as needed.

     

  • Common Meeting Areas:

    · Ensure common meeting areas are organized, clean, and equipped for various functions.

    · Assist in scheduling and coordinating meeting room reservations.

 

WHAT WE NEED FROM YOU 

 

  • Previous experience in a front desk or administrative role is preferred.

  • Excellent communication and customer service skills.

  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office suite.
  • Strong organizational and scheduling skills and attention to detail.
