ABOUT THE ROLE

 

TransAlta is hiring a Technical and Administrative Assistant to support the Manager, Accounting & Settlements. Responsibilities include managing external systems and assisting the Manager.

 

The ideal candidate will have administrative experience, excellent communication, problem-solving skills, strong organization, effective time management, and high service standards. This role involves close collaboration with various teams like Accounts Payable, Accounting and Settlements as well as other individuals throughout the company.

 

This is a union role under the UUWA collective bargaining agreement. 

 

WHAT YOU WILL DO

 

  • Oversee the administration of Corporate Credit Cards, including user support, account creation, updates and closures, updating approvers, troubleshooting issues, tracking late submissions, and compiling monthly reports

  • Execute critical SOX control confirmations for banking details and address changes in new Vendor requests

  • Administer the various systems by modifying users, resetting passwords, confirming roles, and troubleshooting issues

  • Maintain and oversee the Manager’s calendar, schedule meetings, coordinate appointments, and provide timely reminders for upcoming engagements

  • Organize and coordinate meetings, prepare agendas, distribute materials, and take minutes when necessary

  • Offer general administrative support such as filing, data entry, and maintaining office supplies

  • Aid in special projects and initiatives assigned by the Manager to ensure their timely and successful completion

  • Confidentiality - Handle sensitive information with discretion and maintain confidentiality at all times

 

WHAT WE NEED FROM YOU

 

  • At least 5 years of experience in an executive assistant or administrative role, preferably supporting senior management

  • Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization

  • Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities effectively

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software applications

  • Keen eye for detail and accuracy in all tasks

  • Strong problem-solving skills and the ability to anticipate needs and provide proactive solutions

  • High level of professionalism, integrity, and discretion in handling confidential information
