ABOUT THE ROLE
TransAlta is looking for an experienced temporary Administrative Coordinator to join our Highvale Mine Operations Team on a temporary full-time basis.
Reporting to the Supervisor, Gas and Reclamation Administration, this role plays an important part in supporting the day-to-day business and operational activities of the Highvale Mine team. The successful candidate will coordinate stakeholder relations activities, support fleet-related processes, manage leaseholder documentation and communications, and provide operational support across a variety of business functions.
This position is ideal for a highly organized and adaptable professional who thrives in a fast-paced environment, can effectively manage competing priorities, and enjoys building strong relationships with both internal and external stakeholders.
This is a 6-month temporary, full-time position is based out of our Highvale Mine (SunHills) building, located just south of Wabamun Lake, approximately 65 kilometers west of Edmonton, Alberta.
A DAY IN THE LIFE
- Provide senior-level coordination and support to the Mine Leadership Team and operational stakeholders.
- Coordinate stakeholder relations activities, ensuring timely communication, documentation, and follow-up actions.
- Support leaseholder communications, records, documentation, and related business activities.
- Coordinate fleet-related activities, reporting requirements, records, and supporting processes.
- Manage office operations and business support functions across field locations, ensuring consistency and efficiency.
- Coordinate meetings, site visits, training sessions, and department events, including scheduling, logistics, and materials preparation.
- Maintain departmental records, databases, SharePoint sites, and Total Safety Documents (TSDs), ensuring accuracy and confidentiality.
- Support business processes related to budgeting, SAP Work Management, P-Cards, Management of Change (MOC), mobility programs and document control.
- Build and maintain effective working relationships with employees, contractors, leaseholders, regulators, and other stakeholders.
- Identify priorities, resolve business support challenges, and contribute to continuous improvement initiatives across the operation.
ABOUT YOU
- Post-secondary education in Business Administration, Office Administration, or a related discipline is considered an asset.
- Minimum 5 years of experience in an administrative, executive assistant, business coordination, operational support, or similar role.
- Experience supporting multiple stakeholders and balancing competing priorities in a dynamic environment.
- Experience within mining, energy, industrial, construction, or field operations environments is considered an asset.
- Strong organizational, planning, and prioritization skills with the ability to adapt to changing business needs.
- Demonstrated ability to build and maintain productive relationships with a wide range of internal and external stakeholders.
- Excellent written, verbal, and interpersonal communication skills.
- Strong SAP experience and proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Proven ability to handle confidential and sensitive information with professionalism and discretion.
- Self-motivated, resourceful, and capable of working independently while collaborating effectively within a team environment.
- Strong attention to detail, problem-solving skills, and commitment to delivering high-quality results.
